What's new in Campfront

See everything a camper or a family owes on one statement. Scheduled payments sit at the top, settled activity sits below with a running balance, and every figure on the page matches the balance panel beside it.

Charge for a session or an add-on

Add a charge for a session or an add-on straight from a family’s billing page, then either leave it on the balance or collect it there and then.

Reverse a charge or a credit

Any manually entered charge or credit can be reversed from its own menu. The reversal posts as a new entry with the category and amount already filled in, so the original stays on the record and the statement reads as what actually happened.

Take the statement away as a file

Download a statement as a PDF to keep or pass on, or as a CSV to reconcile against your own books. A family statement exports the season you have open. Families can download their own statement as a PDF from their billing page, so a parent who wants a record doesn’t have to ask you for one.

Families see one season at a time. A switcher moves between seasons on the family billing page, and any other season still carrying a balance is called out, so an older debt can’t sit unseen behind the season you are looking at.

Families can pay ahead. Every upcoming payment carries a “Pay now” option, with “Pay all now” when there is more than one, so a family can clear an installment before its due date.

Give a payment its own description. Name what a payment was for and that name shows on the statement, the invoice, and the receipt.

Issue a full or partial refund straight from a payment, without opening the Stripe dashboard. Card and bank refunds go out through Stripe automatically, and offline refunds are recorded in Campfront so the books match the money you hand back. Refunding only moves money; it doesn’t change a camper’s enrollment.

Refund from wherever the payment lives. The action is on the financials grid, a camper’s billing page, and the family billing page. The Past payments grid also takes it as a batch action when you need to refund several at once.

Refund more than once. A partial refund doesn’t lock the payment. You can issue another one later, up to whatever is still unrefunded, and the payment reads “Refunded” once the refunds cover the full amount.

Record why. Add a reason when you issue a refund and it stays with the payment: in the payment’s audit details, in an optional Refund reason column on the payments grid, and passed to Stripe as metadata so it shows against the refund there too.

Families hear about it. A refund emails the family with the amount refunded, separate from the original receipt.

Stage, camper group, grade, responsibility center, staff type, and tags can all be edited straight from the Campers and Staff tables. Click the badge, pick a new value from the popover, and the row updates immediately, without opening a record just to change one field.

Other updates

• One button turns every camper group on or off on the session form, instead of clicking each switch by hand.
• Overdue medication administrations can be marked administered, missed, or skipped right from the Overdue tab.

Ask the form builder to add a question, tweak a field, reorder things, or remove one, and it edits the form you already have instead of starting over. Changes arrive as a reviewable diff, with added, edited, moved, and removed fields all marked, so you can apply or discard the proposal before anything on the live form changes.

Form answers are now readable and writable from Zapier. Zaps can look up a form and its fields and fill in answers on an enrollment or staff application, the same way our AI assistant already can.

Sessions and session groups get their own deposit amount instead of sharing one camp-wide figure, with a new Deposit column on both tables to see it at a glance.

Reuse a household address. Adding or editing a second parent in the same family now offers a “Use an existing address” option, so a parent doesn’t have to retype an address another parent in the household already entered.

Camper mail letters now fit one printed page. A live character counter while writing keeps a letter from running over.

Campfront’s built-in AI assistant used to live in a single panel on the dashboard. It now opens anywhere in the admin with Cmd+J (Ctrl+J on Windows) and stays beside you while you work, so the conversation survives the jump from a grid to a profile to settings.

It also reads the screen you’re on, which saves you spelling out what you mean. Open a camper, ask what he’s signed up for this summer, and it knows who you’re asking about.

Faster, sharper answers

It pairs the screen you’re on with the latest models, so answers come back quickly and reliably. It can now update camper and enrollment records as well as read them, and look up payments and transactions. It checks with you before it changes anything, so you stay in control.

How your data is handled

The assistant works inside the permissions you already have, so it sees only what your role allows and never reaches past your own camp. It connects over the same secure MCP tooling Campfront already uses. Your conversations stay in Campfront and aren’t retained or used for training by AI models.

It’s available to all admin users from today.

This release brings richer formatting to the payment instructions families read at checkout, an unlimited option for camper group capacity, tighter control over priority access codes, and more room to correct an offline payment.

Format offline payment instructions

Check, wire transfer, and cash instructions in Payment settings now support bold, italic, and underlined text, so you can call out the details families are most likely to miss. The formatting carries through everywhere those instructions show up: checkout, billing, confirmation pages, confirmation emails, and invoice PDFs.

Leave session capacity blank for unlimited

Camper group capacity on a session can now be left blank, which treats that group as unlimited and skips the capacity check entirely. The capacity report, availability labels, and enrollment pickers all show “Unlimited” for that group instead of a spot count.

Restrict priority access codes to returning campers only. A priority access code limited to returning families can now also block those families from adding brand-new campers, so a code can be used purely to re-enroll last season’s campers without opening the door to new registrations.

Void a payment after it’s been marked received. Check, cash, and wire payments can now be voided once they’ve been marked received, not just while scheduled or awaiting payment. Voiding puts the balance back and logs the change, so a payment recorded against the wrong family or amount can be corrected without issuing a refund. Card and bank payments that have cleared still need a refund.

This release focuses on getting prospective staff and returning families into your pipeline earlier, plus a batch of workflow improvements across discounts and communications.

Capture staff interest before a full application opens

We’ve reworked and made clearer how sessions carry their own custom question sets, and there’s a new Lead forms area, with separate camper and staff tabs, for building and reusing question forms across camper leads and staff applicants. A new public staff lead form lets prospective staff register interest before a full application opens, dropping them into a new Lead stage in the staff pipeline so you can track and follow up before asking for a full application.

Mark families as camp alumni for automatic discounts

A new admin-only “Camp alumni” toggle on the add/edit parent sheet flags a parent as having attended camp themselves, making their family eligible for a new alumni-family automatic discount. An “Alumni” badge shows up on family and contact lists, and a new “Alumni family?” column is available on the campers grid.

Discounts can now be scoped to session groups. Session groups get their own scope alongside sessions on the discount form, so a discount can target a multi-week program independently of individual sessions.

Choose who gets a resent invitation. Resending an enrollment invitation now opens a dialog to pick which parent in the family receives it, instead of it always going to whoever the cart was last pointed at.

Batch sends now show up in Broadcasts. Emails and texts sent from the camper and staff grid batch actions now appear in the Broadcasts list alongside composer broadcasts, so they can be tracked and reported on.

Camper group, discount, and add-on editing moved to full pages. These now open as their own pages instead of slide-over panels to give more space as you configure your setup.

Other updates

• Shift-click a row checkbox on data tables to select every row in between.
• Currency columns are now right-aligned to help with readability.
• Adding a financial note no longer opens a broken nested popup or shows a false “discard changes” warning after saving.
• Zapier’s cart checkout trigger includes additional useful information about the cart.

A few small workflow improvements landed today across receivables, payment settings, and Zapier.

Manual receivables now take a reference. Marking a manually-added receivable transaction as received now has the same optional reference field, for a cheque number or bank reference, as the offline-payment flow, and it shows up in the transaction’s audit trail.

Check payment instructions are clearer. The auto-generated fallback text families see when your check instructions are left blank is now shown as the placeholder text in Payment settings, so you can see exactly what they’ll see.

Zapier payloads include formatted amounts. Currency values now come through as nicely formatted strings (e.g. “$1,930.00”) alongside the raw cent amounts, so you can drop them straight into emails and documents.

Today we’re shipping the biggest update since our launch: we’ve rebuilt Campfront from the ground up.

Every screen, every table, every form, rebuilt on a new foundation. It’s not just a fresh coat of paint. The new layout and design system implements your vital feedback, and gives us a platform we can build on and iterate faster than ever, which means the features you ask for get to you sooner.

Here’s what the rebuild means for you:

Accessible. The entire platform meets recognized accessibility standards, from contrast and focus states to keyboard navigation. Everyone at your camp can use Campfront comfortably, whatever their needs.

Mobile friendly. Whether it’s a parent enrolling from their phone, a staff member checking their contract on the bus, or you pulling up a camper profile from the dining hall, Campfront works great on any screen size. No app necessary (but watch this space!).

Faster and more consistent. We are reasonably confident no other camp management software obsesses about large tables scrolling at 60 FPS like we do. Pages load quicker, interactions feel snappier, and everything behaves the same way everywhere. Once you’ve learned one part of Campfront, you’ve learned all of it.

We set out to bring camp tech up to date, and today Campfront is the most modern camp platform on the market for camp admins, camp staff, and camp parents. And this rebuild is just the start. The new foundation is what makes everything we have planned possible.

Your camp, your colors

Alongside the rebuild, we’re rolling out much deeper branding.

Pick a single brand color, and Campfront builds your camp’s entire look from that one choice. Rather than just splashing your color everywhere, we generate a complete, coordinated palette around it: buttons, backgrounds, borders, and both light and dark modes, so everything feels like it belongs together.

Crucially, every color combination is checked for accessibility as we go. If your chosen color would make text or buttons hard to read, we automatically adjust it just enough to stay legible and meet accessibility standards, while keeping your true brand color intact for your logo. You’ll see a live preview and a clear heads-up whenever a color needed a nudge.

The result: a polished, on-brand, accessible experience for your families and staff, without needing a designer, and without anyone having to think about the details.

Dark mode is here

Campfront now has a full dark mode, generated from your brand palette so it looks just as much like your camp as light mode does. Users can switch whenever they like.

Your feedback shapes what we build. We listen to camps and turn what we hear into real improvements, and this roundup is a good example of that. Here’s what’s new.

Installment plans that adapt to the payment method. Set a different installment schedule for each payment method you accept, all from your season’s Payment plans settings. Offer a shorter plan on card and a longer one on bank transfer or check. At checkout, families see the schedule for the method they choose, and it updates the moment they switch.

A camp-wide transactions table with scholarship tracking. The Financials section now has a Transactions table that gathers every transaction across your camp, with filtering, sorting, and CSV export. New credit types, including scholarships, make financial aid clean to record and report on.

Priority enrollment for returning families. When you set up a priority access code, you can now limit it to families who’ve enrolled before. Choose whether “returning” means last season or any past season. Families who don’t qualify are told the code is for returning families only.

A Future season stage for campers and staff. For people who applied this year but are coming back later, a new Future season stage on both pipelines moves them out of your active list and revokes any open invitation, while keeping them on file with an optional note.

Two-step verification with an authenticator app. Alongside text message codes and single sign-on, you can now sign in with an authenticator app. Because the codes are generated on the device, they keep working with no cell signal, which is what you need when reception is patchy at camp. Set it up from the Password page in your profile settings.

AI helper for your staffing board. Describe your staffing structure in plain language and Campfront drafts your departments and roles for you, with position counts and the gender each role is for.

Medical PDFs built around what your team needs. Download a medical PDF for any camper or staff member, on their own or in bulk. Choose which sections to include, from allergies and medications to emergency contacts and immunizations, so your medical team prints only what matters at camp. Find it in the Actions menu on the medical tabs and the camper and staff grids.

More flexibility in your automatic discounts. Discounts now bend to how your camp prices. Scope one to specific sessions, run several early bird windows with their own deadlines, and build sibling discounts in tiers so the third child saves more than the second. First-time camper discounts can target new or returning families, and grade discounts keep their own tab.

We’ve shipped a batch of updates that cut manual work and give you more control across your handbook, medical records, family contacts, form assignments, and staff hiring.

Spot the gaps in your handbook

Coverage, a new tab in your handbook, compares what you’ve published against a topic benchmark built from 147 publicly available handbooks, giving you a clear view of what you’ve covered and what’s still missing.

What you get on the Coverage tab:

• Evidence for every verdict: Click on any covered topic to see the exact article passage that earned the checkmark, letting you verify the audit instantly.

• One-click drafts for gaps. Hit Add article on an uncovered topic to spin up a draft pre-filled with the title and the example questions parents or staff typically ask. Topics that don’t apply to your camp can be dismissed as Not relevant.

• Stays in sync as you write. Every article save triggers a targeted re-check, so the gap count is always accurate without you needing to trigger a manual run.

Vaccine records read for you

Whenever a parent, staff member, or admin uploads an immunization record, Campfront does the heavy lifting. The vaccine name, doses, dates, manufacturer, lot number, and provider are pulled straight from the PDF or photo into a table on the profile’s medical tab, ready for review.

To ensure complete accuracy, every extracted result includes a reminder to quickly verify it against the original document.

Add additional parents without an account

Email and phone are now optional when adding additional parents to a family, so you can store non-custodial parents, second guardians, or other contacts who don’t need to have a login. Whilst the family owner needs access to manage the account, other parents added can sit on the family profile as name-only, with a “No account” badge to keep them distinct from invited or active account parents.

A new invitation to create account checkbox lets you and your family owners invite an additional parent later if they decide they do want a login.

Other updates

• First-time vs. returning form segments. Form assignments now include enrollment and employment history segments, so you can target a form at first-timers, returners from last season, or from any previous season.

• Driving license capture on staff applications. The staff application now asks whether the applicant has a driving license, and captures the license number when they do. The answer carries through to their staff record, so it’s there for transport and role decisions.

We’ve launched Handbooks, a new way to run your camper and staff handbooks directly inside Campfront.

You can bring over your existing handbooks or write fresh articles in our editor. Once published, your new AI chat assistant can instantly answer questions based exactly on what you’ve written.

Here is what you can do with Handbooks starting today:

• Keep parents and staff separate: You get two distinct handbooks: one for each audience. Each has its own articles, categories, and optional AI chat assistant.

• Write or import in minutes: The text editor handles articles directly with autosave, version history, drag-and-drop reordering, and one-click publish. Already have a handbook in Word or PDF? Use bulk import to bring them in as drafts to review and tweak.

• Deploy a strictly grounded AI assistant: The assistant only answers using the information from your published articles and your camp’s contact details. Every answer cites its sources. If something isn’t in the handbook, the assistant points users back to your team instead of guessing.

• Track your analytics: See exactly what’s going on. Article analytics show you which articles are getting read, where views come from, and how users rated them. Chat logs capture every conversation, filterable by date, feedback, and citations.

• Control settings and permissions: A single settings page controls both handbooks, each with its own toggles. A new Handbooks permission setting gives you view or edit control per camp admin role.

We’ve shipped a batch of new updates focused on giving you more control across enrollment, family management, and staff hiring, plus a handful of supporting improvements that round things out.

Separate household support

When admins or family owners add additional parents to a family account, you can now specify whether each parent belongs to the same household or a separate one. You can also flag whether they have pickup authorization and capture any additional context about the parent or family arrangement, which is saved as a note on the family profile. Families with multiple campers can also set different primary contacts per camper, so each child is linked to the right point of contact.

Priority enrollment windows

You can now set specific open and close times within your priority window dates, so Campfront automatically opens enrollment at exactly the moment you want (such as 6am on the day) without anyone needing to manually flip the switch. We’ve also introduced priority enrollment links as an alternative to access codes, giving you a simpler way to send returning families straight through to early enrollment.

Delegated signatory support for under-age staff

For any staff member who is under the age of 18 at the time of accepting a contract, Campfront will now flag this and let you add parent or guardian contact details. The contract is then sent to the parent or guardian to sign on the staff member’s behalf, keeping you compliant without disrupting your hiring flow.

Other updates

• Expanded grade list. The grade list now covers early years such as nursery and kindergarten, so younger campers can be enrolled with the right grade on file from day one.

• Automatic grade-based discounts. Configure automatic discounts that apply based on a camper’s grade and the session they’re enrolling in. This makes it easy to offer grade-specific pricing, such as “$50 off for K to Grade 2 campers in the Junior Session”, without relying on manual discount codes.

• Bunking board enforcement settings. New settings on the bunking board let you control whether camper group and gender criteria are enforced when placing campers into a cabin or over-allocating.

• Clearer waitlist flow. Families who try to enroll in a session at full capacity are now notified during the enrollment application and drop into the waitlisted stage on the admin side, making it easier to manage demand for your most popular sessions.

Camper mail is now available in Campfront under the Campers area, giving you a dedicated space to manage parent-to-camper letters and camper replies directly within the platform. There are no Campfront fees to camps or parents to use it, and you have full control over usage through frequency limits and visibility restrictions.

Composing and sending letters

Parents can view and compose letters from their account area, select one or more of their campers, and optionally attach a photo. If you’ve set a frequency limit, parents will see how many letters they have remaining before composing.

Admin printing and delivery workflow

From the inbound tab, you can filter and batch print pending letters as a PDF, as well as optionally mark them as delivered. Status updates are reflected in the parent’s view so they can track progress.

Camper replies

When camper replies is enabled, each printed letter includes a reply page campers can write on by hand. Upload scans individually, in bulk, or via a dedicated inbound email address. Campfront automatically matches replies to the original letter, and parents are notified when a reply is ready to view.

Configuration and controls are managed in camper mail settings, giving you flexibility over how camper mail works at your camp:

• Enable or disable camper mail at any time. Switched off by default until you choose to enable it.

• Camper replies can be turned on or off depending on whether you want to support outbound replies or keep camper mail as inbound only.

• Frequency limits to cap letters per camper per day or week, configurable per parent or per family.

• Allow Image uploads to be provided by parents in their e-letters.

• Cut-off and delivery information for custom parent facing messages such as print schedules.

• Visibility restrictions to limit camper mail to specific sessions, session groups, or camper groups.

Attachments across comms and notes

You can now attach files when sending email comms from the system, with all attachments logged in the activity log for a full audit trail.

File attachments can also be added directly to notes on a profile, with attached files appearing in the files table. Permissions apply here too, so any files attached to a note type such as financial will only be visible to users with the relevant permission, just like the notes themselves.

Dashboard updates

We’ve also made the metric tiles at the top of the camper and staff dashboards more customizable. Toggle tiles on or off, reorder them however you like, and choose exactly which metrics you want to see at a glance. New tiles have been added to both dashboards, with more to come over the coming months.

The upcoming birthdays panel now lets you send out emails or SMS messages directly, either to individuals or in bulk, without having to leave the dashboard.

Downloadable file form input support

The form builder now includes a file download field, allowing you to add downloadable files to any custom form. Whether you simply want to provide families or staff with a document as part of the form, or need them to download, sign, and re-upload it, you can now do so directly within your custom forms.

Session-specific registration links

Registration links are now available for each individual session. If you want to direct families to sign up for a specific session rather than choosing from their eligible list, you can now grab a direct registration link from the sessions table and share it wherever you need.

Medical configuration and notifications

We’ve expanded the medical settings to give you more control over how medical information is captured and managed across your camp.

Dietary requirements and over-the-counter medications can now be fully customized. You can edit names, hide items you don’t need, and add new entries to either list.

Medication delivery times are now configurable. While default times are still provided out of the box, you can adjust or add additional delivery times to match how your camp administers medication throughout the day.

Prescription and insurance uploads can now be required as part of the medication entry process. You can toggle on requirements for prescription uploads when medications are being added, as well as require health insurance card uploads, giving you full control from both the parent and camp admin side.

Notifications for medical and medication logs. When adding a medication administration log, medical log, or a note, you can now choose to notify any user who holds the relevant permission. This makes it easy to keep the right people informed in real time.

Financial updates

Split scheduled payments are now supported. If a family has more than one parent account associated with it, you can take any upcoming scheduled payment, whether from an installment plan or a manually created debit, and split it across parents by any percentage. Each parent can pay using their own payment method, giving you more flexibility for families where costs are shared.

Post-enrollment add-ons are now available from the parent side. Families can log into their account, head to the billing section, and add any additional add-on items that they didn’t select during the enrollment checkout. This means families no longer need to go through the camp admin team to pick up anything they missed.

Alumni tables

A dedicated alumni table is now available under both the campers and staff sections. While you can still track specific season alumni within the main tables, the new alumni tables consolidate all previous campers and staff into a single view.

Each alumni record includes key historical information at a glance. For campers, this includes total years at camp, enrolled seasons, and family contact information. For staff, you’ll find similar fields alongside most recent salary and roles and departments, giving you a clear picture of what each person was doing and when.

The alumni tables also make it easy to contact your alumni from one place, whether you’re reaching out for recruitment, re-enrollment, or just staying connected.

We know how important it is to capture and share camp moments with families and staff, and it’s one of the features camps ask us about most. On Monday, we’re launching the media library, bringing photo storage, sharing, facial recognition, and AI-powered tagging into Campfront.

Facial recognition is built directly into the media library. When enabled, parents and staff can opt into facial recognition from their accounts, and Campfront will automatically tag any campers or staff detected in uploaded photos. Camps can decide whether to charge for facial recognition and set different rates for parents and staff.

AI tagging and search

When photos are uploaded, Campfront automatically generates tags and a summary for each image. These feed into a powerful library-wide search, making it easy to find photos by people, objects, scenes, and more. You can also add manual tags to any photo for further organization.

Sharing and visibility controls give you flexibility over how and when images are distributed:

• Season-level controls let you turn sharing on or off for campers and staff at a high level.

• Granular sharing lets you configure sharing on individual custom subfolders. Subfolders inherit sharing preferences from their parent folder by default, but you can override this to share with specific seasons or sessions as needed.

• Tagged sharing means anyone detected and tagged in a photo can have it shared with them automatically.

• Hide folders to keep assets private until you’re ready to share, or use the media library as a general storage space for your camp’s media.

• Email notifications can be enabled so families and staff are notified when new photos are shared with them.

Find photos where they matter

Any images a camper or staff member has been tagged in or had shared with them will appear on their media tab within the admin side. Families and staff who log in will also have their own media area where they can view and download any images shared with them, with families able to see photos across all of their campers in one place.

Camper lead forms can now be created from the season settings to capture interest from prospective families outside of the enrollment process.

The lead forms capture the following information:

• Parent or guardian details: Name and contact information.

• Camper details: Name, date of birth, gender, relationship, and grade, with support for multiple campers in a single submission.

• Additional questions (optional): Attach a custom form as a second step to capture any extra information, just like with enrollment and staff application questions.

Submissions drop into the system under the lead stage. When setting up a lead form, you can configure auto-tagging so that leads are automatically tagged based on their source, making iteasy to track which families came through a specific email campaign or any other channel.

Enrollment applications submitted through approval-required sessions now drop into a new applied stage, rather than the lead stage, giving you a clear distinction between families who have expressed interest through a lead form and those who have actively applied for enrollment.

You can now gather additional information from families and staff applicants by attaching custom forms to your enrollment and staff application flows, configured directly from the season settings.

Additional enrollment questions can now be added on a per-session basis by attaching a custom form to each session. Whether it’s an open or approval-required session, you can choose which form families complete as part of the enrollment flow. If a family selects multiple sessions, they’ll complete the forms attached to each one. This gives you a flexible way to capture any additional information you need, whether it’s specific to a session or relevant to your camp more broadly.

Additional staff application questions can be set up in a similar way by attaching a custom form to the staff application flow. Questions are shown at the end of the application, letting you gather any extra information you need from staff applicants upfront.

As with other form submissions, forms completed during the enrollment or staff application process drop into the relevant camper or staff profile and are fully accessible through the data tables, where you can filter, export, and use the data to help inform decisions as you progress applications.

We’ve made major improvements to how enrollment, payments, and pricing work in Campfront. You now have session-level control over how families register, with support for open and approval-required enrollment types, add-ons, automatic discounts, priority access codes, and a much more flexible payment system.

Here’s what’s new.

Session-level enrollment types

We’ve introduced session-level enrollment types, giving you control over how families register for each session.

Open enrollment

• Families can browse available sessions and add-ons for their campers, then complete their enrollment there and then

• Converted enrollments drop straight into the system as enrolled, ready for admins to review

• You can choose whether families create their account after checkout, allowing them to begin completing any outstanding actions, or invite them into the system later once you’ve reviewed their profile

Approval-required enrollment

• Follows a similar flow, but rather than completing checkout, campers are added to the system as a lead

• From there, you can review their profile and invite them to enroll using default payment options or with custom payment terms

• Camp admins can also preview the full enrollment journey (as well as the staff application) before going live, without having to leave season settings

Priority enrollment

• Set an enrollment date ahead of your general opening, giving selected families early access through admin-created codes

• Share codes with returning families, staff, or special groups so they can enroll before enrollment opens to everyone

We’ve added a new transport section, giving you a centralized hub to manage how campers and staff get to and from camp.

Create and manage routes

Routes can be created for campers, staff, or both, and support drop-off, pick-up, bus, and self-drive transport types. Campers and staff arriving by air can provide flight details when requesting a route, giving your team the information they need to coordinate logistics.

Routes can be public or private. Public routes appear in the parent and staff login area, where they can browse options and submit requests for arrival and departure. Private routes stay internal for camps that prefer to manage assignments directly. You can also hide the transport section from the parent and staff experience entirely. Visibility criteria let you control which routes appear for which people, based on attributes like session, camper group, department, or start date.

Managing assignments

Route requests land as transport assignments, manageable from the central assignments table or from the transport tab on each individual’s profile. You don’t need to build out vehicles upfront. Create your routes, collect requests, then add buses or vehicles and confirm assignments once you know the demand.

Track boarding with digital rosters

Generate a bus roster for any route and mark individuals as boarded or not boarded directly within the system, replacing pen-and-paper checklists with a real-time digital record. You can view and add transportation notes against any individual on the roster, and key medical information such as medications that need to travel with them is surfaced on the page, giving your team visibility over what matters most as campers and staff board.

Triage to treatment, capture every detail

We’ve overhauled medical log entries to support the full scope of what your health center team needs to document, from initial triage to routine check-ins and everything in between.

Log entries can now be categorized across a broader set of log types that cover more of the scenarios your medical team will encounter. Each log includes a dedicated chief complaint line for the headline issue, with the notes field alongside it for capturing full context. You can optionally record vitals including temperature, heart rate, respiratory rate, and blood pressure, and add medication administrations directly to the log entry. Administrations can reference existing prescriptions already on file, over-the-counter medications, or anything else relevant to the incident.

A new disposition field records the outcome of each log, whether the individual returned to their cabin, was sent for external review, or remained at the health center. Assessment locations can be selected from a managed list that you create once and reuse across all future logs. You can also flag any log as follow-up required and filter across your medical logs to surface outstanding check-ins. Medical logs are accessible from both camper and staff profiles, as well as from the Medical Log section under Medical in the navigation.

Stay on top of compliance

We’ve added a new Medical Settings section under Medical in the navigation, giving you camp-level controls for compliance documentation.

FARE form collection - Toggle whether your camp requires Food Allergy and Anaphylaxis Emergency Care Plan (FARE) forms. When enabled, adding a food-type allergy will prompt the user to download the standardized form, complete it with their medical provider, and upload the signed version back into the system. Uploaded forms appear on the individual’s medical tab and in the forms tab, visible only to users with medical permissions.

Immunization record templates - Upload your own immunization record template for campers and staff to take to their medical provider. Once completed, they can upload it back into the system where it appears under the medical tab and the forms tab, with access restricted to users who hold the medical permission.

Find the right note, faster

We’ve overhauled notes across camper, staff, and family profiles to eliminate the need to jump between records. Family-level notes now surface directly on camper profiles, while camper notes appear on the relevant family profile for a complete history at a glance.

The refreshed design shows more information at once with clearer indicators for each note type. The new notes tab also adds precision with integrated filtering, sorting, and search.

When adding a note, you can now assign it to a specific family member or “level up” a camper note to the wider household if the information applies to everyone.

Connect the dots between campers

Our new linked camper panel allows you to track connections between campers outside of those already listed in their family household. This is perfect for identifying friends, cousins, or other important relationships across your entire system.

From the overview tab, you can search for any camper, define their relationship to the profile you’re viewing, and quick-link siblings in a single action.

This update makes it easy to jump directly between connected profiles. We’ve also added linked camper columns to the camper data table for ease of viewing and exporting.

More control over form assignments

We’ve redesigned form assignments into three intuitive types: Everyone, Segments, and Individual.

Everyone replaces season-level assignments, applying a form to every camper or staff member globally.

Segments consolidate previous filtering options into one flexible tool. You can now build layered audiences by combining criteria like groups, sessions, and tags. Forms are automatically removed if a user leaves a segment before submitting, but remain on their profile once completed.

Individual assignments allow you to assign forms on a case-by-case basis directly from a profile’s forms tab. This is ideal for one-off requirements or unique scenarios that don’t fit into a broader category.

Additionally, repeatable optional forms now automate recurring requests. Once a form is submitted or verified, a new version is automatically generated for the user while all previous submissions are safely retained.

Broadcast composer

We’ve completely redesigned sending broadcasts with a new step-by-step composer that makes it easier to build, preview, and send campaigns.

The new full-screen experience guides you through each stage of creating a broadcast, giving you more space to compose your content and a clearer view of how your message will look before it goes out.

Audience targeting has been expanded: you can now scope broadcasts to a specific season, target a saved view, or build custom audiences using filters like stages, sessions, camper groups, roles, and departments. Multiple filter groups can be combined to reach precisely the right people.

You can also choose between two content styles: styled for visually designed emails with headlines, images, and branded formatting, or simple for clean, text-focused messages.

Templates remain available for both, and you can still preview, send tests, schedule, and track analytics as before.

Broadcast opt-out tracking

We’ve introduced opt-out tracking for both email and SMS broadcasts, giving you visibility into delivery issues and recipient preferences.

For email, the system now reflects when an address is undeliverable, bouncing, or has been marked as spam, helping you understand why messages aren’t reaching certain contacts. For SMS, opt-outs are tracked when a recipient chooses to stop receiving messages.

In both cases, the status is surfaced directly against the email address or phone number on the contact’s profile, so you can see at a glance who can and can’t be reached. This makes it easier to maintain a healthy contact list and avoid repeatedly attempting delivery to addresses that won’t receive your messages.

Gender support for staffing roles

You can now assign a gender to staffing roles, making it easier to manage hiring for positions where this matters, such as roles with specific housing considerations.

When creating or editing a role, you can leave it open to all genders or reserve it for male or female candidates. This is then clearly indicated when selecting roles during the offer or contract process, so you always know which positions have gender requirements attached.

Tag management

We’ve added a new Tags section to camp settings, giving you a central home to manage staff, camper, and family tags.A new addition here is Tag Groups, which lets you bundle related tags together, perfect for keeping things like leads pipeline statuses or medical alerts organized and easy to find.

From this new area, you can:

• Track & Clean: See exactly how many profiles are using a tag and move them to a different tag in bulk if you’re doing some data spring cleaning.

• Centralized Control: Create, delete, and group tags system wide rather than profile-by-profile.

• Stay Organized: Build new groups and move tags around to keep your team’s workflow consistent.

These changes make it much easier to keep your data structured and your tagging system from getting cluttered as your camp grows.

Staffing additional role support

We’ve updated the staffing workflow to allow for additional roles on a single offer or contract. This is perfect for staff members taking on extra responsibilities outside of their primary position.

You can add an additional role while drafting a new offer or contract, or via the edit panels once it’s already been sent. Simply select the relevant department and role to get started. To make these roles easy to spot, they are flagged on the staffing board with a dedicated icon.

Unlike primary roles where you set a job title, additional roles include a Notes field. This gives you a flexible space to explain the “why” and “when” behind the extra role, whether it’s a temporary assignment, scheduling notes or anything else you’d want to log against the role.

These changes make it easier to capture the full scope of a staff member’s contribution without needing separate contracts for every role they fill.

Data streams

We’ve introduced Data Streams, a new way to automatically keep your Campfront data in sync with external tools.

Data Streams let you take any saved view from your camper or staff tables and stream it from Campfront to supported integrations. Alongside CSV exports, you can now keep data updated in Google Sheets, Microsoft Excel (OneDrive / Microsoft 365), or Airtable.

After connecting your Google, Microsoft, or Airtable account, you can link any saved view to a data stream. Campfront will automatically push updates approximately every hour, with the option to trigger a manual sync at any time.

Streams can be edited or deleted whenever needed, giving you flexibility while Campfront remains the source for your data.

Staffing fees management

We’ve introduced a new Fees categories area under staffing, making it easier to manage recruitment fees and additional compensation consistently across Campfront.

This new section includes two tabs, Compensation and Recruitment, where you can define all fee types in one place. Instead of entering fees as free text for each staff member, you can now create reusable categories with a custom name, staff table column name, and merge tag name.

Once created, these categories can be selected from a dropdown when adding recruitment fees to staff profiles, or when creating offers and contracts. You can also create new categories inline, which are automatically added to the relevant category table.

These changes give you cleaner, more structured data in the staff table, with dedicated columns for each fee, making reporting and exports easier. They also improve contract templates by providing individual merge tags for each fee and amount, allowing for more flexible, readable, and customisable contracts compared to the previous comma-separated approach.

Updates to sent staff contracts & offers

We’ve added Contracts & offer details panels to the Information tab, showing a clear snapshot of the details sent to the staff member. This sits separately from the job role panel, making it easier to compare what was sent in the offer or contract with what’s currently stored on the profile.

From this panel, you can now take quick actions on sent offers and contracts. This includes resending the email to nudge a staff prospect, setting or extending expiry dates after an offer or contract has been sent, and voiding a contract directly from the profile.

These updates make it easier to track, manage, and follow up on staff offers and contracts in one place.

Notification preferences

We’ve added user-level notification preferences in Campfront, giving each admin more control over how and when they’re notified.

From preferences (accessible via the three-dot menu), users can choose notification settings by functional area for both campers and staff. Each area can be set to none, instant, or daily digest, allowing you to receive immediate alerts or a single daily summary email.

Notifications can also be scoped based on responsibility. You can choose to be notified about all activity, or only updates related to campers, families, or staff assigned to you using the existing assignment functionality.

These preferences apply separately across camper and staff areas and are role-based. Users will only see and manage notification settings for areas they have permission to access (for example, medical notifications are only available to users with medical access).

Log external communications

We’ve expanded the activity log across camper, staff, and parent profiles to provide a clearer, more complete view of all interactions.

You can now manually log external communications directly against a profile using the new add (+) button in the activity panel. Record inbound or outbound interactions such as phone calls, text messages, emails, or any communication that happened outside of Campfront, along with notes for context.

The activity log has also been enhanced with improved filtering and new tabs, including calls and an expanded emails view. The Emails tab now shows both system-generated and manually logged emails. For system emails, you can click into an entry to preview the message in a slide-out panel and see delivery and open status.

These updates make it easier to track communication history in one place and ensure nothing gets missed.

Managing your staffing recruitment fees

We’ve added a new recruitment fees panel to the information tab on staff profiles, making it easier to track costs associated with individual hires.

The panel works similarly to additional compensation in contracts, allowing you to log recruitment-related fees such as agency costs, transport fees, or any other custom recruitment expenses. Each fee type added is automatically created as a filterable column in the staff table.

This update gives camps a clear, central place to record recruitment costs and makes it easier to report on.

Other updates

• You can now bulk un-assign tags as a mass data table action for Campers & Staff

• Staff salary amount and salary period have been split into separate columns in the staff data table

• Add media embedding support to the text editors throughout the system

• Improvements to the data table manage column view to make the list order grouping more intuitive

• Added resend functionality for pending email sender entries

Bunking boards

We’ve launched Bunking Boards in Campfront, making it easy to manage cabin accommodation in one place.

Create cabins, set camper and staff capacity, and organise assignments using a simple drag and drop. Click on camper or staff tiles to view key details and notes while planning.

Bunking Boards support multiple sessions, allowing you to manage different programs and duplicate cabin setups across sessions to save time.

Work in draft, collaborate with your team, and publish when ready. Once published, you control visibility: keep boards internal or share assignments with staff and/or parents, with published boards appearing in their portals.

Medication approval

Camps can now review and manage each medication’s status. Admins can mark medications as Approved once reviewed, Rejected with notifications sent to parents or staff, or Discontinued if a medication changes or stops during camp.

This update supports safer, clearer medication management with more updates coming soon.

References updates

We’ve made a few small improvements to the References feature to support clearer and more secure verification.

Referees are now required to provide their phone number when submitting a reference. We’ve also added visibility of the IP address used to complete a reference on the admin side, with a visual flag shown if multiple references share the same IP.

These updates help camps review references with greater confidence while keeping the process simple for referees.

Merge tag support in messages

We’ve added merge tag support to the message text fields, allowing you to personalise messages with details like names and other profile related information.

This applies to all message fields, whether that is sending invitations to enroll, generating contracts, or offers. The merge tag support also works with the Recently Sent Messages feature, making it easier to reuse personalised communications.

Staff references

You can now manage reference requests for staff members, whether or not they’ve been invited to have an account on the system. Staff can provide their referee details by logging into their account, using a secure single-use link sent via email, or camp admins can enter the referee details directly within the admin area.

Referees don’t need an account as they’ll receive an email with a one-time form link where they can submit or decline the reference request.

Once completed, references flow straight back into Campfront, where you can review, verify, reject, delete, or download them as needed. All reference statuses and actions can be accessed anytime through the dedicated references table or directly within each staff profile.

Pinned notes

You can now pin important notes on any profile, whether it’s a camper, family, or staff member. Pinning a note keeps it visible at the top of the Notes section and displays it in a new Pinned Notes panel on the profile’s Overview page. You can pin or unpin notes from either area for quick management.

For high-priority items, you can also flag a pinned note for attention. This keeps it pinned while highlighting it in red, making it easy for users to spot urgent or critical information at a glance.

Communication templates

You can now create reusable email and SMS templates to streamline your camp’s messaging. Templates can be saved as Drafts while you work on them, or set to Published when they’re ready to use.

Published templates can be applied to both broadcasts and individual messages, helping you keep communications consistent and quick to produce. All templates are managed in the new Templates area, where you can create, edit, and track updates across your team.

Control your lead notifications

You can now manage your email notifications for new camper and staff leads right from your profile settings.

To adjust them, click the three dots next to your name in the lower-left corner, choose Profile, and scroll to the bottom of the page.

Make your forms only visible internally

You can now set whether you want your created camper & staff forms to be visible externally to parents & staff users in their application area. This can be set for each individual form and can be updated at any time.

To set a form as internal only, the option toggle appears on form settings panel whilst editing a form. You’ll find it below the required toggle option.

Profile assignments

You can now assign profiles in specific admin users, making it easier for you to manage your group of campers, families and staff. You’ll see the ‘Assigned to’ label on the overview tab of profiles and will be able to choose an admin user to link to that profile or keep it unassigned.

These assignments will be filterable in the relevant camper or staff tables.
